Prepare for a Smooth Year-End with Sage 100

Year-end is a busy time for accounting and payroll teams. You need to reconcile accounts, review financial reports, prepare tax forms, and plan for software updates. Starting early gives your team time to answer questions before they become urgent. The Sage 100 Year-End Center puts useful resources in one place. You’ll find links to checklists, payroll workflows, product updates, training, and filing information. It’s a helpful starting point for organizing your year-end work.

Build Your Year-End Plan Around the Right Checklists

To make year-end go smoothly, know what needs to be done and who is responsible for each task. Instead of relying only on last year’s notes, check Sage’s checklists and compare them to your current process. The Year-End Checklists section has resources on closing Sage 100 modules, checklists for each module, and the reports you’ll need. You’ll also find tips for reconciling Accounts Receivable and Accounts Payable with the General Ledger, and advice for checking inventory differences.

Use these tools to create a schedule for your team. Assign each main task to someone and note which jobs depend on others being finished first. For example, your accounting team may need extra time to resolve a reconciliation issue before they can complete their review. Planning for this can help reduce stress as deadlines approach.

Give Payroll and 1099 Reporting Dedicated Attention

Payroll and vendor reporting have their own steps, so it helps to give them a separate place in your year-end plan.

Sage’s Payroll & AP 1099 Year-End Checklist organizes resources for quarterly payroll reports, tax forms, year-end updates, ACA setup, W-2/W-3 forms, quarter- and year-end processing, 1099 reconciliation, and 1099/1096 forms. It also covers federal and state forms, including Forms 940 and 941. Use this checklist to guide the steps that matter for your business. Decide which tasks apply to you and who will handle and review each one.

If different people manage payroll, Accounts Payable, and filing, coordinate their schedules early so they can resolve any questions together.

Check Product Updates and Version Requirements

Getting your software ready is as important as your accounting and payroll tasks. The Product and Tax Updates section has links to the Sage 100 Download Portal, supported version documents, and instructions for checking if the current year-end Interim Release Download (IRD) is installed. Sage also directs users to its Announcements, News, and Alerts forum for the latest updates. Review these resources with your lead consultant to see what applies to your setup. Check your current version, review the update requirements, and allow time to schedule any needed work. Planning ahead helps your team get support and ask questions before deadlines.

Make Training Part of Your Preparation

Even if your team is familiar with Sage 100, it’s helpful to review year-end steps. Team members may have new roles, your processes may have changed, or some tasks may only happen once a year. The Year-End Center has links to year-end training and Sage University. You’ll also find FAQs about installation, payroll, product and tax updates, reports, tax forms, and legislation. Set up a short meeting to find any knowledge gaps and choose the resources you need. Ask your team to write down any remaining questions and share them with your lead consultant before you start processing.

Confirm Deadlines and Resource Access Early

Be sure to include filing deadlines and access checks in your plan. The Year-End Center has links to Aatrix eFile deadlines, the IRS website, and IRS date details. Use these resources when making your calendar, and set review dates early so you have time for corrections. Employees responsible for year-end can access the instructions they need. Sage notes that access to all related articles in its Payroll & AP 1099 checklist requires a Sage Knowledgebase login and a valid Sage Business Care plan.

Start Preparing Today

Year-end preparation is easier when you break it into clear, assigned tasks. Bookmark the Sage 100 Year-End Center, review the resources that fit your business, and make a schedule that covers reconciliations, reporting, updates, training, and filing.
